Smartsheet vs Basecamp: Which Should You Choose in 2026?
Smartsheet vs Basecamp is a choice between two very different ideas of project management. Smartsheet turns spreadsheets into connected project plans with Gantt charts, dependencies, automation and roll-up reporting, priced per member; Basecamp keeps each project's messages, to-dos, files and chat on one calm page, with flat pricing and no per-user fees. Choose Smartsheet if you need structured, date-driven planning and reporting; choose Basecamp if your main problem is scattered communication, especially with clients.
Key takeaways
- Overall, Smartsheet scores 8.6/10 and Basecamp 7.6/10 in our review; Smartsheet wins 4 of 7 categories and Basecamp 3.
- Smartsheet is stronger for scheduling, dependencies, reporting, resource and portfolio management, automation, AI and enterprise security.
- Basecamp is easier to adopt, better for asynchronous communication and client collaboration, and better value for larger teams.
- Pricing models differ: Smartsheet starts at $9 per member/month with no free plan; Basecamp has a free one-project plan and paid plans from $25/month flat (checked 7 October 2026).
- Basecamp has no Gantt dependencies or critical path; Smartsheet has no message-board-style communication hub. Decide which gap matters more to you.
Smartsheet vs Basecamp: Quick Verdict
Smartsheet is the better choice for structured, date-driven work that has to be planned, tracked and reported across many projects: PMOs, operations and finance teams, IT implementations and construction programmes. Its spreadsheet-style grid feels familiar to Excel users, and it scales into enterprise portfolio management with Portfolios and Control Center.
Basecamp is the better choice for communication-centred work: agencies, consultancies, small businesses and remote teams who want discussions, decisions, to-dos and files in one place, and who want to bring clients in without paying for their seats. It is one of the easiest tools to adopt, but it deliberately leaves out dependencies, resource planning and detailed reporting.
In our scoring, Smartsheet wins on feature depth, planning and resource management, Agile and software teams, and scalability; Basecamp wins on ease of use, collaboration and value for money.

What Is Smartsheet?
Smartsheet is a cloud-based work and project management platform built around the sheet: a grid of rows and columns that looks like a spreadsheet, but where each row can be a task with an owner, dates, dependencies, a status and its own discussion. The same sheet can be shown as a grid, Gantt chart, board, calendar or (from the Business plan) timeline, and forms, automated workflows, cross-sheet reports and dashboards are built on top.
It was launched in 2006 and is based in Bellevue, Washington. Blackstone and Vista Equity Partners took the company private in January 2025. Smartsheet's strength is turning scattered Excel trackers into shared, governed plans, and its higher plans add portfolio tools that few rivals match.
What Is Basecamp?
Basecamp is project management and team communication software from 37signals, launched in 2004. Instead of organising work around tasks and views, it organises everything around projects: each project has one page holding a Message Board, To-dos, a Kanban-style Card Table, a Schedule, Campfire group chat, Automatic Check-ins and Docs & Files. You switch on only the tools a project needs.
The current version, which 37signals calls Basecamp 5, added a new home screen, faster search, My Bar, subtasks, account-wide Everything pages and an improved editor. Basecamp's premise is that most teams need clearer communication more than more project controls, and its flat pricing reflects that.

Ease of Use and Setup
Basecamp: Ready in Minutes
Basecamp is one of the easiest project tools to set up and learn. You create a project, choose its tools, invite people and start posting. There are no custom fields to design and no workflow rules to build, so non-technical staff and clients usually need little or no training. Every project looks the same, which keeps the interface calm and predictable.
The trade-off is structure. Teams that want custom fields, priorities or dependencies will find to-do lists limiting, and in accounts with many projects, reviewers say finding older items can be cumbersome. Basecamp 5's improved search, My Bar and Everything pages help here.
Smartsheet: Familiar for Spreadsheet Users
For anyone comfortable with Excel, basic Smartsheet use is quick to pick up: a sheet can be running in minutes, especially if you import a spreadsheet or start from a template. Well-designed solutions take longer, because column types, row hierarchy, cross-sheet formulas, automations, reports, dashboards and sharing all need thought. G2 reviewers sum it up as easy for spreadsheet users, with a steep learning curve for advanced use.
Smartsheet's interface is dense and precise rather than visual. That suits people who like to see a lot of data at once, but it can slow adoption among teams who prefer cards and boards. AI formula generation helps, though you still need someone who understands sheet design.
Planning, Scheduling and Views
Smartsheet Planning Features
Planning is Smartsheet's home ground. Its Gantt chart view, available on every plan, shows task bars on the same rows as the grid, so editing a date in either place updates both. You can set task dependencies, drag bars to reschedule, mark milestones and highlight the critical path. Row hierarchy turns a list into phases and subtasks, with parent rows rolling up dates and progress.
Board view shows rows as cards in lanes, calendar view lays out dated work, timeline view (Business and above) groups work into lanes such as team or region, and the newer table view adds live co-editing and an easier formula editor. Forms collect requests straight into a sheet.
Basecamp Planning Features
Basecamp plans work with to-do lists, which can have assignees, due dates, notes, files and, since Basecamp 5, subtasks. The Card Table is a Kanban board for reactive work, with a Triage area for new requests, custom columns, Not Now and On Hold sections, and a Done column. Project schedules and calendars hold deadlines and events, and the Lineup shows every project as a bar on one timeline.
Basecamp's most distinctive feature is the Hill Chart. Each to-do list is a dot on a hill: uphill while the team is still working out the approach, downhill once it is executing. Dots are moved by hand, each update is saved, and stuck work becomes easy to spot. It is a useful way to show real progress on creative or software work, but it does not replace a schedule.
What Basecamp does not have is a real Gantt chart: no dependencies, critical path, baselines or automatic rescheduling. Third-party integrations such as Ganttify and Le Gantt can add Gantt views. If your projects depend on sequencing, this is the single biggest reason to choose Smartsheet. You can sketch a schedule first with our free Gantt chart template.

Two cells in the feature table need context. Basecamp's "partial" for Gantt reflects its schedules and Lineup timeline without dependencies; its "no" for built-in AI means there are no AI features inside the app, although your own AI agents can work with Basecamp through its API and connectors (see the automation and AI section below).
Collaboration and Client Access
How Basecamp Handles Collaboration
Collaboration is Basecamp's core purpose. Message Boards hold announcements and longer discussions, Campfire handles quick chat, Pings are private messages, and Automatic Check-ins ask a recurring question such as "What did you work on this week?" so routine status meetings become unnecessary. Every message, to-do, file and event has its own comment thread, so decisions stay on the project.
Client work is where Basecamp stands out. You can invite clients into a project and choose which messages, to-dos, files and events they see, keeping internal discussion separate. Because paid plans have no per-user fees (Freelancer allows up to 20 users; Studio and above are unlimited), adding clients does not raise the bill. The most common complaint from users is notification volume, so agree notification settings early. Our guide to agency project management covers client communication in more depth.
How Smartsheet Handles Collaboration
In Smartsheet, collaboration happens on rows and sheets: comments and conversations, @mentions, attachments, proofing on images and documents (Business and above), and notifications in-app, by email, on mobile and through Slack or Microsoft Teams. Smartsheet has three kinds of user. Members are paid users who create and manage work. Contributors are free and can view, and with commenter permission comment on, shared work. Guests, free on Business and above, are external users who can view or edit what is shared with them.
This works well when a sheet is the single source of truth for a plan, and free Contributors and Guests keep stakeholder costs down. It feels more like editing a shared document than having a conversation, though, and there is no project message board or check-in tool. As sheets multiply, sharing and seat assignments need active management.
Automation and AI
Smartsheet Automation and AI
Smartsheet's no-code automated workflows combine triggers, conditions and actions to send reminders, request approvals, update or move rows, create recurring tasks and generate documents. Pro includes 250 automations per month; Business and above are unlimited.
Smartsheet lists its core AI tools on all plans. Smart Assist can summarise sheets, run a project health check that flags risks and dependency problems, and take actions such as bulk-updating rows. Smart Columns apply AI instructions to every row, for example to summarise or translate free text. There is also an AI dashboard builder, plain-language formula generation and data analysis. From the Business plan, Smartsheet's MCP server connects sheets to assistants such as Claude, ChatGPT, Microsoft Copilot and Gemini (checked 7 October 2026).
Basecamp Automation and AI
Basecamp has no workflow automation engine; recurring check-ins and Card Table column watching are the closest built-in equivalents, and Zapier, Zoho Flow and Unito can connect it to other apps. As of October 2026 it has no built-in AI features such as summaries or writing help. 37signals has said it is still working on native AI.
Instead, Basecamp is open to AI agents you run yourself: a revamped API, a command-line interface, SDKs and agent skills let tools such as Claude, Codex and Cursor work in Basecamp, and its pricing page lists ChatGPT and Claude connectors, with full MCP support marked as coming soon. This suits technical teams; non-technical buyers who want AI inside the interface will find Smartsheet far ahead.
Reporting, Resources and Portfolios
Smartsheet Reporting and Portfolio Tools
Smartsheet reports pull matching rows from many sheets into one view, such as every overdue task across ten projects, and dashboards present charts, metrics and reports to stakeholders (Pro allows up to 10 widgets per dashboard). Well-designed sheets can feed consistent project status reports without anyone copying data by hand. Data can also flow into Power BI or Tableau.
For resources, Business adds workload tracking that flags over-allocation, Enterprise adds Scenario Planning, and the Resource Management add-on covers capacity planning, time tracking and budgets. Portfolios (Enterprise) and Control Center (Advanced Work Management or add-on) let a PMO create every project from a standard blueprint and roll them up into portfolio reports.
Basecamp Reporting and Visibility
Basecamp's Reports show what is overdue, who is assigned to what and what is coming up across projects. With the Activity feed, Hill Chart history, Lineup and Everything pages, a manager can usually see what is happening without asking. This is operational visibility rather than analytics: there are no custom dashboards, charts, budgets, utilisation reports or portfolio rollups, and no capacity planning. Teams that need to manage resource allocation across many projects will outgrow it.
Integrations Compared
Smartsheet says it has over 175 integrations, concentrated on the enterprise stack: Microsoft Teams, Outlook, Slack, Google Workspace, Salesforce, Jira, DocuSign, Power BI and Tableau, plus MCP connections for AI assistants. Bridge, its low-code integration builder, and the API (free for licensed users on Business and above) handle custom workflows. Some connectors are paid add-ons, so check the one you need.
Basecamp's integrations directory lists 93 third-party integrations (checked 7 October 2026), including Harvest, Toggl, Clockify and Everhour for time tracking, Ganttify and Le Gantt for Gantt views, Bridge24 for reporting and Zapier for automation. These are built by third parties. Basecamp has no native Slack or Microsoft Teams integration, positioning Campfire and Pings as the alternative, though third-party connectors exist.
If your organisation runs on Microsoft 365, Salesforce or Jira, Smartsheet fits more naturally. If you mainly need time tracking and invoicing alongside projects, Basecamp's partner apps cover that.
Security and Administration
Smartsheet is built for enterprise procurement. Its Trust Center lists SOC 2, ISO 27001, GDPR, FedRAMP and HIPAA (with a Business Associate Agreement); data is encrypted with AES-256 at rest and TLS in transit; and it supports SAML single sign-on (Enterprise and above), admin-enforced multi-factor authentication and SCIM directory sync. Enterprise customers can add customer-managed encryption keys and choose data regions.
Basecamp's security policy covers HTTPS encryption in transit, encryption at rest for uploaded files and encrypted daily backups, and Basecamp supports two-factor authentication. 37signals publishes a CAIQ self-assessment and a HECVAT for education buyers. We could not find SAML SSO, SCIM provisioning or a SOC 2 report for 37signals itself advertised, so organisations with formal identity or compliance requirements should check these directly before buying.
For regulated industries and government, Smartsheet is the safer choice. For most agencies and small businesses, Basecamp's controls are adequate. Good permission design matters in either tool.
Smartsheet vs Basecamp Pricing in Detail
| Smartsheet | Basecamp | |
|---|---|---|
| Plans | Pro: $9/member/month annual ($12 monthly) Business: $19/member/month annual ($24 monthly) Enterprise: Contact sales Advanced Work Management: Contact sales | Free: $0 Freelancer: $25/month Studio: $59/month Pro: $99/month Unlimited: $299/month (annual) |
Checked on vendors' pricing pages on 5 October 2026. Read the full Smartsheet pricing and Basecamp pricing breakdowns.
The two tools charge in completely different ways. Smartsheet charges per paid member: Pro is $9 per member/month billed yearly ($12 monthly) for 1 to 10 members, Business is $19 per member/month billed yearly ($24 monthly) with a minimum of 3 members, and Enterprise and Advanced Work Management are quote-based. Contributors are free on every plan and Guests are free from Business. Add-ons such as Resource Management, Dynamic View and Data Shuttle cost extra. There is no free plan, but there is a 30-day free trial of Business with no credit card.
Basecamp charges one flat price per account: Free ($0, 1 project, up to 5 users, 1 GB), Freelancer ($25/month, 3 active projects, 20 users), Studio ($59/month, 10 active projects, unlimited users), Pro ($99/month, 25 active projects, unlimited users) and Unlimited ($299/month billed annually, unlimited projects). Archived projects do not count towards the limit. Basecamp offers a 30-day free trial on Freelancer, Studio and Pro and 45 days on Unlimited, with no credit card (all prices checked 7 October 2026).
What You Would Pay: Three Examples
These examples use published prices with annual billing where offered. Your own bill depends on how many people need to edit rather than view, and on how many projects you run at once.
| Scenario | Smartsheet | Basecamp |
|---|---|---|
| 5-person team, 4 active projects, all editing | Pro: 5 × $9 = $45/month | Studio (Freelancer allows only 3 projects): $59/month |
| 15 staff editing, 8 projects, clients invited | Business (Pro caps at 10 members): 15 × $19 = $285/month; clients as free Guests | Studio: $59/month; clients included |
| 40 staff editing, 30 active projects | Business: 40 × $19 = $760/month, or an Enterprise quote | Unlimited (Pro caps at 25 projects): $299/month billed annually |
The pattern is clear: Basecamp gets cheaper per person the bigger your team, while Smartsheet can be cheaper for a very small team with a handful of projects. Smartsheet's cost also falls if many people only need to view or comment, because Contributors are free. Count your editors and your active projects before comparing.

Who Should Choose Smartsheet or Basecamp?
Choose Smartsheet if…
- Enterprises and PMOs standardising project portfolios
- Operations and finance teams who think in spreadsheets
- Familiar spreadsheet interface for Excel users matters to you
Choose Basecamp if…
- Agencies and consultancies working with clients
- Small businesses wanting simple project communication
- Very simple and calm to use matters to you
Choose Smartsheet If
- Your projects depend on dates, dependencies and milestones.
- You are replacing Excel trackers and want them shared, automated and governed.
- Leadership expects dashboards and reports that roll up many projects.
- You run a PMO, or need resource, portfolio or scenario planning.
- You need SAML SSO, formal compliance certifications or Microsoft 365 and Salesforce integrations.
- You want built-in AI to summarise, check and query project data.
Choose Basecamp If
- Your main problem is scattered email, chat and files rather than scheduling.
- You work with clients and want to control what they see without paying for their seats.
- You want a tool that non-technical staff will adopt in a day.
- Your team works asynchronously or remotely and wants fewer status meetings.
- You want a predictable monthly bill as the team grows.
- You run a moderate number of projects at the same time.
If you need Smartsheet-level planning, resource management and reporting but also want richer collaboration, request forms and proofing in a more visual workspace, Wrike, our top-ranked tool, is worth trialling alongside both.
Small businesses should also read our guide to project management for small businesses.
Using Smartsheet and Basecamp Together
Some organisations use both: Smartsheet for the master schedule, budget tracking and portfolio reporting that a PMO or operations lead owns, and Basecamp for day-to-day communication with the delivery team and clients. This can work, but there is no native integration between them, so you would rely on Zapier or a similar tool, or on someone copying key dates across.
Before running two systems, decide which one is the source of truth for dates and status, and keep the other for conversation only. If you find yourself duplicating tasks in both, that is a sign you need a single platform. A communication plan helps agree which updates go where.
How to Switch Between Smartsheet and Basecamp
Moving in either direction is mostly a matter of structure, because the two tools model work differently. A practical approach:
- Map the structure. A Basecamp project usually becomes a Smartsheet sheet (or a workspace for larger projects), and to-do lists become parent rows with tasks underneath. Going the other way, each sheet becomes a project and row groups become to-do lists.
- Export what matters. Smartsheet sheets can be exported to spreadsheets. From Basecamp, gather active to-dos, key dates and important files; technical teams can use Basecamp's API or CLI to extract them.
- Decide what not to move. Archive old discussions in the source tool rather than recreating them. Move active work, open decisions and current files.
- Rebuild one project first. Use Smartsheet's 30-day trial or a Basecamp trial to pilot one real project, including its report or client access.
- Set conventions. In Smartsheet, agree column types and a template so reports work; in Basecamp, agree notification settings and when to use messages, chat and pings.
- Run both briefly, then switch off. Give the team a clear cut-over date so updates do not split across two tools.
If you are moving to Smartsheet from spreadsheets as well as Basecamp, our project tracker template is a useful starting structure. For choosing criteria, see how to choose project management software.
Alternatives to Smartsheet and Basecamp
If neither tool fits, the most common alternatives sit between them: monday.com and Asana are more visual than Smartsheet and more structured than Basecamp, and ClickUp offers a lot of features per dollar. Wrike suits teams that need enterprise planning and resource management with stronger collaboration.
Frequently asked questions
Which is better, Smartsheet or Basecamp?
It depends on your work. Smartsheet (8.6/10 in our review) is better for date-driven projects that need Gantt charts, dependencies, reporting and enterprise controls. Basecamp (7.6/10) is better for communication-centred projects, client work and teams that want a simple tool with flat pricing.
Is Basecamp cheaper than Smartsheet?
Usually, for teams of more than a few people. Basecamp charges a flat $25 to $299 per month regardless of users, while Smartsheet charges $9 or $19 per paid member per month on its published plans. A very small team running only a few projects can pay less on Smartsheet Pro (checked 7 October 2026).
Does Smartsheet have a free plan?
No. Smartsheet's cheapest plan is Pro at $9 per member/month billed yearly. It offers a 30-day free trial of the Business plan with no credit card, and free Contributors can view and comment on shared work.
Does Basecamp have a free plan?
Yes. Basecamp Free costs $0 and includes one project, up to five users and 1 GB of storage, with no time limit. Paid plans start at $25 per month for Freelancer.
Does Basecamp have Gantt charts?
No. Basecamp has project schedules, calendars, Hill Charts and the Lineup timeline of all projects, but no Gantt chart with dependencies or critical path. Third-party integrations such as Ganttify and Le Gantt can add one. Smartsheet includes a Gantt view with dependencies on every plan.
Which is easier to use, Smartsheet or Basecamp?
Basecamp. It takes minutes to set up and needs little training, which is why it scores 9/10 for ease of use in our review against Smartsheet's 7/10. Smartsheet is easy for spreadsheet users at a basic level, but advanced formulas, reports and automation take training.
Which is better for agencies and client work?
Basecamp, for most agencies. You can invite clients into a project, choose exactly what they see and add them without extra cost. Smartsheet also offers free Guests on Business and above, and suits agencies that need detailed schedules, proofing and resource planning.
Which is better for small businesses?
Basecamp suits most small businesses because of its free plan, fast setup and predictable flat price. Smartsheet suits small businesses that already run on spreadsheets and need proper scheduling, though Pro is capped at 10 members and 250 automations per month.
Do Smartsheet and Basecamp have AI?
Smartsheet does: Smart Assist, Smart Columns, AI dashboards, formula generation and an MCP server for external assistants from the Business plan. Basecamp has no built-in AI features as of October 2026, but lets your own AI agents work in it through its API, CLI and ChatGPT and Claude connectors.
Do Smartsheet and Basecamp integrate with Slack and Microsoft Teams?
Smartsheet integrates natively with both Slack and Microsoft Teams. Basecamp has no native integration with either and positions its Campfire chat and Pings as the alternative, though third-party connectors and Zapier can link them.
Which is better for Agile teams?
Smartsheet, though neither is a dedicated Agile tool. Smartsheet's board view can represent sprints and its sheets can hold backlogs, while Basecamp has no backlogs, sprints or velocity reports. Software teams running Scrum usually prefer Jira; see our Smartsheet vs Jira comparison.
Can I use Smartsheet and Basecamp together?
Yes, but there is no native integration, so you would connect them through Zapier or a similar tool. Some organisations keep the master schedule and reporting in Smartsheet and day-to-day team and client communication in Basecamp. Decide which tool owns dates and status to avoid duplication.
How do I move from Basecamp to Smartsheet?
Map each Basecamp project to a sheet and each to-do list to a group of rows, export active to-dos, dates and files, and rebuild one pilot project during Smartsheet's 30-day trial. Archive old discussions in Basecamp rather than moving them, then set a clear cut-over date.
