Wrike vs monday.com: Which Work Management Tool Wins in 2026?

Wrike vs monday.com is a choice between depth and ease of adoption. Wrike is the better fit for organisations that need detailed scheduling, resource and portfolio management, approvals and reporting in one platform; monday.com is the better fit for teams that want colourful, flexible boards that non-technical colleagues pick up in minutes. This comparison covers ease of use, planning, resources, automation, AI, pricing at real team sizes, user ratings and how to decide.

Key takeaways

Quick verdict

Choose Wrike if you run many projects at once and need interactive Gantt charts with critical path and baselines, workload and resource planning, request intake with approvals, and reporting across a whole portfolio. Choose monday.com if fast adoption matters most and you want visual boards that every department can shape into its own workflow with little help.

In our scoring, Wrike (9.4/10, ranked #1 in our top 10 project management tools) wins on feature depth, planning and resource management, Agile and software teams, and enterprise readiness. monday.com (9.1/10, #2) wins clearly on ease of use, and the two tie on collaboration and value for money. The gap is small: both are excellent platforms, and the right one depends on how complex your work is.

Put simply, monday.com is the easier platform to roll out, and Wrike is the more complete platform once work gets complex.

The core difference: depth vs ease of adoption

Both tools manage tasks, projects, requests and processes, and both offer list, board, table, calendar and Gantt views, dashboards, forms, automation and AI. The difference is in design philosophy.

Wrike is built around a structured hierarchy of spaces, folders, projects and tasks, with custom item types, fields and workflows. It is designed to be the single system of record for complex work, so it puts scheduling, resource management, proofing and reporting in the same platform. That depth takes longer to set up and learn.

monday.com is built around boards: flexible, spreadsheet-like tables where each row is a piece of work and each column holds information about it. Anyone can create a board and add columns in seconds, which is why non-technical teams adopt it quickly. Advanced capabilities, such as time tracking, workload, portfolio and resource management, arrive on the Pro and Enterprise plans.

What are Wrike and monday.com?

Wrike

Wrike was founded in 2006 by Andrew Filev and has been owned by private equity firm Symphony Technology Group since 2023. It says it is used by more than 20,000 organisations. It covers tasks and projects, request forms, custom workflows, interactive Gantt charts, dashboards, workload and resource planning, proofing and approvals, AI agents and, on top tiers, advanced reporting and BI.

monday.com

monday.com Ltd. was founded in Tel Aviv in 2012 and has been listed on Nasdaq since 2021. It sells several products on one platform, including work management, CRM, service and monday dev for software teams. This comparison focuses on monday work management, which covers boards and views, dashboards, WorkForms, automations, docs, AI and, on Enterprise, portfolio and resource management.

Ease of use and onboarding

Ease of adoption is monday.com's best-known advantage, and it earns its 9/10 in our scoring. A new user understands a board in minutes, colour-coded statuses make progress obvious, and more than 200 templates give a working start. Small teams can run real work on day one. The learning curve rises for connected boards, cross-board dashboards, complex automations and permissions, and G2 reviewers mention it for advanced setups.

Wrike scores 7/10. Creating, assigning and updating tasks is straightforward, but designing spaces, workflows, custom fields, request forms, dashboards and permissions for a whole department takes planning. Capterra reviewers consistently praise Wrike's flexibility and visibility while mentioning setup complexity, onboarding effort and a dense interface. Wrike provides training through Wrike Discover, templates and professional services for larger rollouts.

Project planning and Gantt charts

Both tools offer Gantt charts, but Wrike's scheduling is deeper and available on a lower plan.

Critical pathYes, with floatOn Pro, per monday.com's plan documentation
BaselinesYes, planned versus actualListed on monday.com's Gantt feature page

For most marketing, operations and client projects, monday.com's Gantt view on Standard or Pro is enough. For complex, date-driven work such as launches, events or construction-style schedules, Wrike's support for lead and lag, float and the critical path helps you see what a delay will affect before it happens. If you are still planning in spreadsheets, our free Gantt chart template is a good starting point.

Wrike also scores higher for Agile and software teams in our review (8/10 vs 7/10). monday.com sells a separate product, monday dev, for sprints and bug tracking, so software teams comparing the two should evaluate monday dev rather than work management boards.

Resource, workload and portfolio management

This is where Wrike pulls ahead, and it drives most of its lead in our planning and resource score (10/10 vs 8/10).

Wrike shows team workload and allocated effort, accounts for working hours, non-working days and holidays, and supports time tracking with approved timesheets. Pinnacle adds advanced resource and capacity planning with job roles, budgeting and financial tracking, and advanced reporting and BI. Because projects share the same structure and fields, PMOs can roll many projects into portfolio views and dashboards.

monday.com adds a workload view and time tracking on Pro, which is often enough for basic capacity planning in small and mid-sized teams. Its pricing page lists portfolio management and resource management as Enterprise features, along with multi-level permissions.

For a PMO or professional services firm that needs formal resource allocation across many projects, both answers involve a quote-based plan (Wrike Pinnacle or monday.com Enterprise). Ask each vendor for a demo of exactly the resource and portfolio views you need.

Request intake, approvals and proofing

Both tools turn form submissions into work. Wrike's request forms map answers to task fields, use conditional logic and can be shared externally, and rules route each request to the right person. monday.com's WorkForms support conditional questions, branding and an AI form builder, and each submission creates an item on a board. Our work request template lists the fields worth collecting in either tool.

The difference is what happens next. Wrike has built-in proofing and approvals: reviewers mark up images, videos and documents and approve with named approvers, which is a long-standing strength for creative and marketing teams. monday.com handles approvals through statuses and automations, which works for simple sign-offs; that is why our feature table marks its proofing as Partial.

Automation and workflows

Both tools use "when this happens, do that" rules: when a status changes, assign someone; when a form is submitted, create a task; when a date approaches, send a reminder. monday.com's automation recipes are among the easiest to set up in the category. Wrike's rules work with its custom statuses and request forms to route work through multi-step processes, and AI Essentials (from Team) can create forms and automation rules from plain-language descriptions.

The practical difference is metering. monday.com counts automation actions and integration actions each month: 250 of each on Standard, 25,000 of each on Pro, and up to 250,000 combined on Enterprise (checked 7 October 2026). A busy team can use 250 actions quickly, so serious automation on monday.com starts on Pro. In Wrike, the more advanced automation, AI agents and cross-tool automation through Wrike Integrate sit on higher tiers or add-ons, so check which plan your workflows need.

AI features

Both vendors have made AI central to their platforms, with usage-based allowances (checked 7 October 2026).

  • Wrike splits AI into two tiers. AI Essentials, from Team, covers content creation and editing, comment summaries, natural-language creation of forms and rules, AI highlights and mobile inbox prioritisation. AI Elite, with a pooled monthly allowance of actions from Business, adds Wrike Copilot (questions about your work data), AI dashboard widgets and configurable AI agents for request validation, triage, risk checks, auto-assignment and portfolio reporting. Allowances grow on Pinnacle and Apex.
  • monday.com uses a shared monthly pool of AI credits: at least 1,000 on Basic, 2,000 on Standard and 3,000 on Pro, with custom amounts on Enterprise. Credits power monday sidekick (an assistant that summarises, drafts and updates work), prebuilt and custom AI agents for intake, planning, status reporting and risk analysis, AI blocks on boards, and the Notetaker (from Standard).

Both treat agents as configurable automation with permissions, logs and admin controls, not as autonomous staff. Wrike's agents are tightly connected to its request and portfolio workflows; monday.com's sidekick is the more accessible everyday assistant. Heavy AI users should model costs on either platform.

Reporting and dashboards

Wrike's dashboards, shareable from Team, pull tasks, statuses, workload and metrics from across projects onto one screen. Pinnacle and Apex add advanced reporting and BI for portfolio, financial and resource analysis. Capterra reviewers rate Wrike's project visibility very highly, though some mention a learning curve in configuring reports.

monday.com's dashboards are visually excellent, with charts, battery widgets, Gantt and workload widgets, scheduled reports and AI summaries. The key limit is how many boards one dashboard can combine: 1 on Free and Basic, 5 on Standard, 20 on Pro and 50 on Enterprise. A team running a dozen projects on separate boards will need Pro for one cross-project dashboard, and some Capterra reviewers mention workarounds for reporting across many boards.

Collaboration and guest access

Both tools score 9/10 for collaboration in our review. Each task or item has its own conversation with comments, @mentions and files, so decisions stay with the work. Wrike adds formal approvals and shared dashboards; monday.com adds collaborative docs and unlimited free read-only viewers on paid plans, which is useful for executives and clients who only need to look. monday.com guests (external editors) start on Standard.

Users of both mention notification overload in busy accounts. Agree notification settings and @mention habits early, and use automations to notify the right person rather than everyone.

Integrations

monday.com advertises more than 850 integrations and apps, counting its marketplace, including Slack, Microsoft Teams, Gmail, Outlook, Zoom, Jira, GitHub, Salesforce, HubSpot, Zapier and Make, plus an API and an MCP server for AI assistants. Remember that integration actions count against the monthly limit on your plan, and some marketplace apps carry their own cost.

Wrike's directory lists around 60 integrations, including Microsoft Teams, Slack, Salesforce, Google Sheets, Power BI, Tableau, Miro, ChatGPT and Microsoft Copilot, plus an open API. Two add-ons go further: Wrike Integrate automates workflows across cloud and on-premises systems, and Wrike Sync keeps work aligned through two-way sync with 22 systems, including Jira, GitHub, Salesforce and HubSpot. Both are included in Apex and sold as add-ons on other plans.

If you need a long list of ready-made connectors, monday.com has the edge. If you need deep two-way sync between business teams and engineering tools, Wrike Sync is a strong option.

Security and administration

Both are mature enterprise platforms. monday.com's trust centre lists SOC 1, SOC 2 and SOC 3 reports, ISO/IEC 27001, 27017, 27018, 27032 and 27701, CSA STAR and TX-RAMP, with a HIPAA Business Associate Agreement on Enterprise. SAML single sign-on, SCIM, audit logs and IP restrictions are Enterprise features.

Wrike offers granular permissions, customisable user types, locked spaces and single sign-on on higher tiers, and its website displays AICPA, BSI and CSA STAR compliance badges. Wrike Lock, an add-on, lets organisations control the encryption keys protecting their data, which is valued in regulated industries. On either platform, confirm current certifications and their scope in the vendor's trust documentation during procurement.

Headline prices look similar, but the two vendors charge in different ways (checked 7 October 2026):

  • Wrike charges per user, billed annually. Team ($10) is for 2 to 15 users and includes Gantt charts, shareable dashboards and AI Essentials. Business ($25) is for 5 to 200 users and adds templatised workspaces, standard integrations and an AI Elite allowance. Business and higher plans are annual only. Pinnacle and Apex are quote-based.
  • monday.com charges per seat, billed annually, with a minimum of 3 seats, and sells seats in buckets that rise in multiples of 5 after that. Standard ($12) is the entry point for timeline, Gantt and automations, and Pro ($19) adds time tracking, workload and 25,000 actions a month. monday.com asks teams of more than 40 users to request a quote. Free viewers do not use a seat.

Here is the monthly cost on annual billing for some common team sizes, before add-ons:

Team sizeWrike TeamWrike Businessmonday.com Standardmonday.com Pro
5 users$50$125$60 (5 seats)$95 (5 seats)
6 users$60$150$120 (10 seats)$190 (10 seats)
12 users$120$300$180 (15 seats)$285 (15 seats)
20 usersNot available (15-user cap)$500$240 (20 seats)$380 (20 seats)

Two conclusions stand out. For small teams of up to 15, Wrike Team is often the cheaper way to get Gantt charts and dashboards, especially at headcounts that fall awkwardly between monday.com's seat buckets. For larger teams, monday.com Standard and Pro usually cost less per month than Wrike Business, but compare what each plan includes: Wrike Business adds AI Elite and more workflow customisation, while monday.com Pro adds time tracking and higher automation limits.

Free plans and trials

Wrike's Free plan includes board and table views and basic task management; monday.com's Free plan covers up to 2 seats, 3 boards and 3 docs. Neither free plan includes Gantt charts or automation. Wrike offers a 14-day free trial and monday.com a 14-day trial of its Pro plan; both say no credit card is required. Wrike's extras include the Whiteboard add-on at $15 per user/month and Integrate, Sync, Lock and extra AI actions on request.

Read the table with plans in mind. monday.com's time tracking is on Pro and its portfolio management on Enterprise; Wrike's advanced resource planning, budgeting and BI are on Pinnacle. Wrike's Docs and wiki is Partial because it focuses on task descriptions and project context rather than full documents, while monday docs gives monday.com a full collaborative editor.

Wrike's category wins reflect its depth: the most complete feature set in our review, the strongest scheduling and resource management, and the governance large organisations need. monday.com's clear win on ease of use is the reason many teams choose it, and it should not be underestimated: a tool people actually use beats a more powerful one they avoid. Value for money is tied because each tool is better value at different team sizes and plan levels.

monday.com has the higher G2 rating. monday.com has the higher Capterra rating. See reviews on G2 for Wrike, G2 for monday.com, Capterra for Wrike and Capterra for monday.com.

monday.com is rated higher by users on both sites, and that is consistent with its strength in ease of use. In Capterra's topic summaries (checked 7 October 2026), monday.com users most often praise project tracking, customisable workflows and platform adaptability, and most often criticise the pricing structure (seat minimums and features on higher tiers), bugs and performance on very large boards. Wrike users most often praise project visibility, collaboration and workflow automation, and most often criticise the learning curve, onboarding effort, interface density and pricing for small teams.

Both sites label vendor-invited and incentivised reviews. Read critical reviews from organisations of your size and industry, not just the five-star ones.

How to switch between Wrike and monday.com

Switching platforms is mostly a design and adoption exercise, not a data one.

  1. Inventory active work. List live projects, recurring processes, forms and dashboards. Archive finished work in the old tool or export it.
  2. Map structures. monday.com boards, groups and items roughly map to Wrike projects or folders, sections and tasks. Decide how columns become Wrike custom fields (or the reverse) before importing.
  3. Import a sample. Both tools import spreadsheets, so export a board or project to Excel or CSV and test field mapping for owners, dates and statuses on one project.
  4. Rebuild forms and automations. These do not transfer. Recreate the essential ones first, and check monday.com's monthly action limits or Wrike's plan features for what you need.
  5. Pilot with one team for two to four weeks, using the trial, then adjust the structure.
  6. Set a cut-over date and keep the old tool read-only for reference for a few months.
